ABOUT THE CALIFORNIA BLACK FREEDOM FUND

A state-wide initiative, the California Black Freedom Fund (CBFF) is a five-year, $100 million initiative to build and sustain the power of Black-led organizations, coalitions, and networks.

This Fund was established and continues to be overseen by a unique partnership between funders and community leaders who will continue the spirit of partnership and co-design with Black leaders to develop a new way of philanthropic and community collaboration. Resources will be both pooled and aligned to support movement-building for the kind of deep, social and structural changes that can only be achieved by investing in the infrastructures of Black-based organizations committed to sustained movement-building. ABOUT THE OPPORTUNITY

This is a full-time, exempt level position. 

This position can be located remotely within California. While the position is listed as 'Fully Remote,' there will be required travel to meetings, gatherings and convenings.

JOB SUMMARY

Reporting to the Executive Director, California Black Freedom Fund, the Director, Administration will be responsible for managing the executive office and serve as a bridge to CBFF’s program, operational, financial, and administrative infrastructure. In this capacity, the Director will lead the administrative coordination of CBFF’s governance bodies, ensure coordination amongst team members and consultants, facilitate event planning, ensure, and provide administrative support for the executive office.

The California Black Freedom Fund is preparing to spin away from Silicon Valley Community Foundation and establish itself as an independent 501(c)(3) organization by January 2025.  This presents a unique opportunity candidates to build CBFF’s next phase.    Ideal candidates are passionate about CBFF’s mission; self-starters; highly collaborative; enjoy wearing multiple hats and rolling-up their sleeves; and have an eye for efficiencies and improvements. 

DUTIES AND RESPONSIBILITIES

Executive Office Management

  • Provide critical high-level administrative technical and strategy support to the Executive Director.
  • Plan and implement strategic goals, operational objectives and work plans related to the work of the Executive Director and governance bodies’ goals and priorities.
  • Identify and implement scheduling, public speaking and essential travel solutions as well as administrative support strategies to increase efficiency and impact.
  • Lead the development of Board Meeting agendas, meeting materials and reports. Manage production and distribution of board materials by facilitating a collaborative process of developing and maintaining project timelines, deliverables, and work plans.

Project Management

  • Collaborate with the Executive Director, team members and other leaders in the development of strategic goals, long-term operational plans and work plans.
  • Develop and maintain project plans, dashboards and reports to facilitate communication, workflows and timelines.
  • Initiate, track and coordinate multiple strands of activity to ensure that projects and deliverables are progressing according to plan and in a timely manner.
  • Guide teams through planning activities, beginning with discovery through delivery designed to support key projects and strategic goals.
  • Contribute to the development and use of tools, processes and resources to ensure the accurate, timely and cost-effective execution of work plans. Manage resources assigned to projects to ensure success.
  • Proactively identify emerging challenges or barriers in reaching key milestones and deliverables.  Initiate appropriate actions to redress challenges. Determine the best way to respond flexibly to urgent needs and high-impact opportunities and special projects.

Operational and Administrative Management

  • Lead coordination of CBFF’s administrative functions.
  • Evaluate the efficiency of business procedures according to organizational objectives and apply improvements. Analyze operational processes and performance, recommending solutions for improvement, where necessary.
  • Develop and implement administrative systems that will help CBFF operate efficiently.
  • Monitor the day-to-day running of the team to ensure smooth progress. Liaison with external Legal Counsel and Human Resources Consultants to ensure legal compliance. 
  • Manage and coordinate vendor relationships, including finance, human resources, and IT.
  • Develop organizational policies and procedures. Ensure adherence to operational policies, procedures, compliance, and effective internal controls, this can include trainings and regular updates. 
  • Work with the Executive Director to identify hiring needs. Create job descriptions, lead recruitment and hiring, and oversee employee onboarding and training programs.  
  • As necessary, review contracts, non-disclosure agreements, and other binding documents to ensure that statements of work, proposed deliverables, and service levels meet requirements.
  • Coordinate the development and scheduling of team meeting agendas as well as tracking of progress on organizational priorities.

Event Planning and Management

  • Lead and manage a variety of meetings, events and convenings.
  • Manage administrative and logistical planning, such as complex calendaring, partner convenings and other event planning.
  • Manage consultants in the design and execution of complex meetings and convenings.
  • Collaborate with the Executive Director and team members to produce an event and programming calendar.
  • Create and pitch events and appearances to further CBFF’s agenda.

Other Duties

  • Perform other related duties, special projects, and initiatives as assigned by the Executive Director.

QUALIFICATIONS AND REQUIRED SKILLS

  • Bachelor’s degree. 
  • Minimum seven years’ experience in fields relevant to assigned responsibilities. Preference for significant relevant work experience (10+ years) in a start-up atmosphere.
  • Knowledge of or interest in CBFF’s issue areas of work and its local community and geographic nuances throughout California.
  • Excellent writing, editing, analytical and oral communication skills including the ability to collect, review, synthesize and present information and findings.
  • Strong project management experience and ability to multitask and meet deadlines within designated timeframes, as well as demonstrated resourcefulness in setting priorities for oneself and a team; strong organizational skills and exceptional attention to detail with the ability to work both independently and in a highly collaborative environment. 
  • Self-motivated with the ability to work independently and make strategic and tactical decisions in a complex and high-paced/high-output environment.
  • Experience managing, developing and coaching team members.
  • Excellent interpersonal skills with an ability to work with diverse people and in diverse groups.
  • Open to learning new frameworks and thinking critically about improving existing methods or approaches.
  • Strong software skills in Microsoft Office Suite and Outlook.
  • Ability to thrive in a rapidly shifting and evolving workplace.
  • Commitment to systemic change and social justice. 
  • Excellent interpersonal skills with an ability to work in a team environment and with diverse groups of people. 

SALARY AND BENEFITS

SVCF is committed to offering competitive salaries and comprehensive benefits. The target hiring range for this position is $150,000 to $170,000 per year based on experience, credentials and internal salary equity.

The noise level in the work environment is usually moderate.
