OVERVIEW

Charles and Helen Schwab Foundation (CHSF), a family foundation with headquarters in San Francisco, is looking for a part-time Executive Assistant. This position will support the Executive Director with scheduling and a variety of other  administrative tasks. This is a non-exempt position. The ideal candidate will be someone with prior experience as an Executive Assistant or Senior Administrative Assistant who wants a more flexible part-time job. We are looking for a team player who is proactive, hard-working, well-organized and capable of working independently.

DUTIES & RESPONSIBILITIES

  • Part-time position, 15-20 hours per week
  • Flexible schedule and location: minimum one hour per day of work; minimum one day per week in the office; and working remotely is an option.
  • Support Executive Director with scheduling daily calendar and other administrative activities
  • Support Executive Director and staff with travel arrangements, expense reports, contact lists, formatting documents, printing and preparing briefing books, handle mailings, etc
  • Schedule and organize meetings with multiple parties, including catering arrangements
  • Scan and upload files, enter data and organize grant files in grants management database
  • Manage foundation’s general email and voicemail inboxes
  • Monitor and maintain office supplies
  • Maintain positive and professional relationships with staff, grantees, funding partners and other organizations in the field

QUALIFICATIONS

  • Minimum 3 years experience supporting a senior-level executive
  • Extreme professionalism, decorum and sensitivity to confidential matters
  • Outstanding communication skills (writing and speaking)
  • Excellent customer service skills
  • Prompt and dependable, good follow through
  • Detail-orientation, exceptional organizational skills
  • Self-starter who works well independently
  • Excellent time management and ability to prioritize tasks and work efficiently
  • Creative thinker and problem solver
  • Professional personal appearance and demeanor
  • Experience with cloud-based software applications such as: Google Suite, Microsoft Suite, Dropbox, Evernote, Zoom, Doodle, etc. Or comfort with technology and willingness to learn
  • Familiarity with common office equipment (printers, copier, fax, etc)
